This policy explains how 21 Century Tax, LLC (“21 Century Tax,” “we,” “us”) collects, uses, shares, and protects information when you visit 21centurytax.com, contact us, or work with us as a partner. It is written in plain language. If anything is unclear, contact us using the details at the end.

1. Who this policy covers
21 Century Tax works with tax resolution firms, CPA and EA firms, attorneys, financial professionals, and other businesses (“partner firms”), and delivers services to their clients. This policy covers:
- Visitors to our website
- People who contact us or submit our partner inquiry form
- Owners and staff of partner firms
- Clients of partner firms, when we work on their matters
When we deliver services as a subcontractor to a partner firm, we handle that firm’s client information on the firm’s behalf, under our agreement with the firm and the client’s consent. The client may also receive a privacy notice from the partner firm. Our engagement documents and privacy notices to clients control how their tax and financial information is handled; this website policy does not reduce those protections.
2. Information we collect
Information you give us through the partner inquiry form
- Your name, firm or company name, type of practice, email address, and phone number
- Your business location (city and state, and optionally street address and ZIP code)
- The size of your active client base, the services your firm offers, and the services you are interested in adding
- Anything you write in the message box
- Your consent choices, including whether you agreed to receive text messages
Information you give us in other ways
- Information you share by email, phone, text message, or video call
- For partner firms: agreement, billing, and payment details, and the case coordination information needed to deliver services
- For clients of partner firms: the documents and information needed for the services engaged, such as IRS notices, transcripts, financial statements, and tax returns
Information collected automatically
- Technical information. Our hosting provider receives basic information when you visit, such as your IP address, browser type, the pages you view, and the date and time. It is used to deliver, secure, and troubleshoot the site.
- Privacy-friendly analytics. We use cookie-free analytics that count page views, referring sites, browser type, and country. It does not build a profile of you or follow you to other websites.
- Spam and abuse protection. Our form uses a security check that looks at browser and device signals to tell people from automated bots. To limit repeat submissions, we store a one-way scrambled code derived from your IP address, not the address itself.
3. How we use information
- To respond to your inquiry and set up a call
- To evaluate, set up, and manage partner relationships
- To provide the services you, your firm, or a partner firm engages us for
- To send appointment reminders, service updates, and, with your consent, information about our services
- To process payments, keep business records, and meet tax, legal, and professional obligations
- To protect our website, our partners, and their clients from fraud, spam, and security threats
We do not use your information for automated decisions that have legal or similarly significant effects on you.
4. Text messages
We send text messages only to people who have agreed to receive them, for example by checking the optional text message box on our form, or by agreeing in writing or on a recorded call. Consent to receive texts is not a condition of doing business with us. Messages may include appointment reminders, service updates, and information about our services. Message frequency varies. Message and data rates may apply.
Reply STOP to any message to stop receiving texts. Reply HELP for help, or contact us at [email protected] or (714) 868-0887.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are excluded from all of the information-sharing categories in this policy and will not be shared with any third parties, except the provider that delivers our text messages, and only so it can provide that service.
The full terms of our text message program are in our SMS Terms and Conditions.
5. How we share information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share it only in these situations:
Service providers that help us run our business and may use the information only to provide their services to us, including:
- Cloudflare, for website hosting, security, the spam check on our form, analytics, and delivering form submissions to our team by email
- Zoho, for business email
- Google Fonts, which supplies the typefaces on our site. Your browser connects to Google to load them, so Google receives your IP address.
- Providers for phone and text messaging, scheduling, e-signature, file transfer, and payment processing
Partner firms, when you or your firm ask us to work together on a client’s matter, limited to what that work requires.
Professionals who work on a matter, such as an attorney who drafts a trust, only as the engagement requires and with any consent the law requires.
Legal reasons, when required by law, subpoena, or court order, or to protect our rights or the safety of others.
Business transfers, if 21 Century Tax is merged, sold, or reorganized. The new owner would remain bound by this policy for information collected under it.
With your permission, for any other purpose you approve.
6. Tax return and financial information
Tax return information receives special protection. Under Internal Revenue Code sections 7216 and 6713, we use and disclose a client’s tax return information only to provide the services the client engaged us for, or as those rules otherwise allow, and we obtain the client’s written consent before any use or disclosure that requires it, including sharing between a partner firm and our team.
Tax and financial information about individual clients is also covered by the Gramm-Leach-Bliley Act and the FTC Safeguards Rule. Clients receive any privacy notice those rules require as part of their engagement.
Please do not send Social Security numbers, account numbers, or tax documents through our website form or by regular email. We will give you a secure way to share them when an engagement begins.
7. Cookies, analytics, and browser signals
Our website does not use advertising cookies or cross-site tracking. Our analytics do not use cookies. The security check on our form may store a small amount of data in your browser that is needed for the check to work. You can block or delete cookies in your browser settings; the form may not work without the security check.
Because we do not track visitors across websites or sell personal information, there is nothing for a “Do Not Track” signal to turn off. Where state law gives effect to a Global Privacy Control signal, we treat it as a request to opt out of any sale or sharing of personal information.
8. How we protect information
We use reasonable administrative, technical, and physical safeguards, including encrypted connections, access limited to the people who need it, and confidentiality requirements for the providers we work with. No system is perfectly secure. If a security incident affects your personal information, we will notify you as the law requires.
9. How long we keep information
- Inquiry form submissions: up to 24 months after our last contact with you, unless you become a partner
- Partner firm records: for the length of the relationship, and afterward as long as needed for tax, accounting, and legal purposes
- Client files: as long as required by professional standards, IRS rules, and applicable law
When we no longer need information, we delete or securely dispose of it.
10. Your choices and rights
- Ask to see, correct, or delete the personal information we hold about you
- Ask for a copy of your information in a portable format
- Opt out of marketing emails using the unsubscribe link, or of text messages by replying STOP
- Withdraw any consent you have given us, at any time
Depending on where you live, you may have additional rights under state privacy law, including the right to appeal a decision about your request. To make a request, email [email protected] with the subject line “Privacy request” or call (714) 868-0887. We will respond within the time the law requires, usually within 45 days. We may need to verify your identity, and we may keep information we are legally required to retain. An authorized agent may make a request for you with your written permission. We will not treat you differently for exercising your rights.
11. Children
Our website and services are intended for adults and businesses. We do not knowingly collect information from children under 13 through our website. If you believe a child has given us information, contact us and we will delete it.
12. Where information is processed
We are based in the United States, and our services are intended for people and businesses in the United States. Our service providers may process information in the United States and in other countries where they operate, under their own security and privacy commitments.
13. Other websites
Our site may link to other websites. We are not responsible for their privacy practices, so please review their policies.
14. Changes to this policy
We may update this policy from time to time. When we do, we will post the new version on this page and change the effective date above. If a change materially affects how we use information we already hold, we will tell you before it applies.
